Thank you for renting the Community Room at the Oxford Public Library. If you have questions about or problems with the room, please contact Amy Henderson or Jeanna Mcewen at [email protected] or by calling (256)831-1750.
Enter/exit using the side entrance; you will be provided a key. If you have handicapped or elderly individuals attending your event, please allow them to use the front library doors—you may open them from inside. (The front doors do not always close correctly, so ensure they are securely locked and closed upon leaving if you open them.) You will not be able to enter the library; glass doors will be closed to separate the Community Room area from the library. Restrooms are in the hallway.
Leave the room in the condition you found it—empty any trash, sweep/mop where appropriate, and turn off all lights. You may decorate the room as needed, but do not attach anything to the walls, and clean up all decorations. You may adjust the temperature as needed during your event, but turn the thermostat back before leaving. Make sure all doors are securely locked upon leaving.
Stack chairs in stacks of five, and place them in their designated places. (There should be one stack of five chairs on each side of the four pillars, and the rest should go in the chair closet.) The 4’ white tables each go under the windows surrounding the room. Five 6’ white tables stay in the front side of the room, and the rest go in the table closet.
NO ALCOHOLIC BEVERAGES ARE ALLOWED ON LIBRARY PROPERTY.
Tables and chairs are provided, as well as equipment to view projected material on a large screen. If you plan to use the projector and screen, please allow time beforehand during library hours to be shown what equipment is available and a brief tutorial on how to use the equipment.
Return the key to the library the next day the library is open or in the bookdrop after hours using the envelope provided. When an inspection proves the room and surrounding areas is left acceptable to the Director, you will receive your deposit back.
As a final inspection before leaving, please go to all three sets of doors available to you (one at the stairway and two in the rotunda), and confirm that all are locked.
The event must be concluded, room cleaned, and doors locked before 9:00 p.m.
If any of the above rules are violated, your deposit will not be returned, and your organization will no longer be able to rent the Community Room in the future.
